A freelance invoice template, with payment terms attached

Updated 2026-09-24 · a working page, not a sales page

Most freelance invoices are missing the two fields that decide whether they get paid on time: a due date and a consequence. The rest is arrangement.

Short answer

The fields

The four terms worth choosing between

The late-fee line, written so it survives

State it as a fact rather than a threat: 'Invoices unpaid after the due date carry a late fee of X% per month, applied from the due date.' A fee that appears on the invoice before anything goes wrong is far less contested than one introduced during a dispute.

Also name the pause: work on new deliverables stops while an invoice is overdue. That sentence is what actually gets invoices paid.

If you want the whole set, not one template

The Contract Pack pairs the invoice template with a statement of work, a change order, the clause libraries and nine word-for-word emails for the awkward moments — including the overdue one.

Contract Pack — US$24, one payment. A statement of work, a change order and a short-form services agreement — plus an invoice template, seven clause libraries (IP, revisions, confidentiality, termination, late payment, subcontracting, governing law) and nine word-for-word emails for the awkward moments.

Questions

What payment term should a new freelancer use?

Net 14 with a deposit on first projects. Long terms are a concession you grant once trust exists, not a default.

Can I charge a late fee without a contract?

Only if the client agreed to it in writing somewhere — an email thread counts in most places. That is why the term belongs in the contract and the invoice.

Should I send invoices as PDF?

Yes. A PDF is fixed, and it is what an accounts department expects to file.
