Why your cold email reads as AI-written

Recipients do not analyse your email. They scan the first line, decide if a human wrote it for them, and click delete. Generated mail fails that scan in about two seconds, and the reasons are structural rather than grammatical.

The three tells that get mail deleted

First, symmetry: three paragraphs, each four sentences, each ending on a benefit. Real people write unevenly. Second, abstraction: 'helps teams streamline workflows' names nothing. Third, the missing detail that only the recipient would know — a date, a platform, a post they made.

You only need one of those to be fixed to change the read. The cheapest is the detail, and it costs you two minutes of research per recipient. That is also why it works.

A structure that holds up

Five lines, in this order:

  • one sentence naming the recipient's specific situation
  • one sentence naming what you have that is relevant to it
  • one sentence of proof, with a number if you have one
  • one ask with a low cost to say yes to
  • your name, no logo block
  • If a line can be removed and the email still works, remove it. Cold email is not a place to build a case; it is a place to earn a reply.

    Volume, timing and the boring rules

    Send during the recipient's working hours, not yours. Keep the daily volume low enough that you can read replies yourself in the first weeks — a reply that lands while you are asleep for eight hours is a reply you lose. Bounce rate above roughly four percent means your list is wrong, not your copy.
