Apology emails fail for a predictable reason: they spend three sentences on empathy language and one clause on what actually went wrong. The reader is looking for the cause, the fix and the date.
Five lines: what broke, why, what is fixed now, what happens next, and one sentence of accountability that is not self-pitying. That is it. Length makes an apology worse, because every extra sentence looks like it exists to manage the reader rather than inform them.
If the failure was yours and not the process's, say so. Customers forgive individuals far more readily than 'processes'.
Each of these is read as a hedge by anyone who has received a corporate apology before:
Replace each with the specific fact you are avoiding.
Say the date, give the reason it takes that long, and offer the one thing you can do now. An apology with a date is service; an apology with only regret is noise. If you cannot give a date, say what has to happen before you can, and when you will write again.
